If you’re the person who got handed “update the team photos,” you already know how this goes. Half the staff page is years old, two people have no photo at all, and getting everyone to a studio on their own time is never going to happen. Meanwhile clients look at that page before they call, and they form an impression fast. A team headshot day fixes it in one visit. I come to your office, set up once, and your people step in one at a time and go straight back to work.
It’s one scheduled block where I bring the lights, the backdrop and a screen to your office and photograph everyone under the same setup. Because the light and background never change, every photo on your website matches, whether someone sat down first thing in the morning or right before lunch. Nobody drives anywhere and nobody loses a workday.
Most offices already have a room that works, usually a conference room or an empty office. Before your team headshot day, I’ll confirm the space with you so there are no surprises when I walk in with gear.
Set up a simple sign-up with 10 to 15 minute slots and let people choose their own. Put leadership and anyone client-facing early so the photos that matter most are done first. Leave a couple of open slots at the end for the person who forgets, because there’s always one.

Send one short note a week before the team headshot day with the date, their time slot, and what to wear: solid colors, no busy patterns, and whatever they’d wear to meet a client. My guide on what to wear for a corporate headshot is a good one to forward. A reminder the day before keeps people from showing up in a logo tee.
Everyone sees their images on the screen right after their turn and picks the ones they want before heading back to their desk. You’re not chasing thirty people for gallery selections the following week. That step is usually where these projects stall. Retouched headshots go out the same day.
Someone is always out sick or on vacation. They can book a session at the studio on Raeford Road, and I’ll photograph them to match the rest of the team. The same goes for new hires down the road, so your staff page stays consistent instead of slowly drifting again. I wrote more about that in headshots for new hires.
I take a limited number of team days each month, so three to four weeks’ notice is best. If you’re working toward a website launch or an annual report, count back from that date.
When your staff page is ready for a fix, see how team headshot days work and pick a date.
